Give your assistant a ChatGPT that already knows your business
Your VA asks the project for a client email and it already knows your offer, tone and policies.
A sketch of what you'll get back.
Your prompt
Fill in your details. Skip any you like.
ChatGPT opens with your prompt already typed in. It's copied too, just in case.
The prompt that gets copied
This project is the shared workspace for [YOUR BUSINESS, e.g. a one-person career coaching practice], used by me and my assistant. Always write in my voice: [YOUR VOICE IN BRIEF, e.g. warm, direct, no jargon]. Use the files in this project as the source of truth for prices, policies and what's included in [YOUR OFFER, e.g. my 12-week coaching program]. If a question isn't answered by the files, say so and suggest what to ask me instead of guessing. Never promise refunds, discounts or dates that aren't in the files. Keep client emails under 150 words and end with one clear next step.
Put your files, instructions and key chats in a ChatGPT project, then share it. Your VA or business partner gets the same context, so their drafts sound like yours from day one.
Step by step
- Select New project in the sidebar and add your offer docs, FAQs and a past email or two.
- Open the more options menu, select Project settings and paste the prompt below as instructions.
- Select Share, invite your helper by email and choose chat access or edit access.
- Ask them to start every client task inside this project so ChatGPT uses the shared files.
What you'll get
A shared project where you and your helper both get answers and drafts based on the same files and instructions.
Free plans can share with up to 5 people, Plus and Go up to 10, Pro up to 100. Shared projects use project-only memory.
