Please look after my email inbox like a careful assistant. First, read my sent mail from the last 90 days so you learn how I write. Then review my inbox and sort every message into four groups: needs my reply, needs my decision, waiting on someone else, and safe to ignore. Always keep these visible: messages from real people, anything from [PRIORITY SENDERS, e.g. my clients and my accountant], deadlines, bills and security alerts. Treat [LOW PRIORITY MAIL, e.g. newsletters and app notifications] as low priority. Give me a short update with no more than five action items. Then propose a cleanup (what to archive or label) and wait for my yes before you move anything. Never delete or send anything on your own. For each message that needs a reply, write a draft in my voice, under 120 words, and show it to me first. End with quick yes or no questions. Once this works, repeat it every weekday at [CHECK TIME, e.g. 8 AM].

Step by step
- Open ChatGPT, click Work, and connect Gmail under Customize, then Plugins.
- Paste the prompt with your priority senders and check time filled in.
- Answer yes or no to each group in the first cleanup proposal.
- Read every draft, edit it, and approve only the ones you want sent.
- Tweak the rules after a week, like who counts as a priority sender.
