Put your business on autopilot
Keep a big project on track with its own AI teammate
When a client quietly moves a deadline in an email, the teammate notices and flags it.

Your prompt
Fill in your details. Skip any you like.
ChatGPT opens with your prompt already typed in. It's copied too, just in case.
The prompt that gets copied
You're my project teammate for [PROJECT OR CLIENT, e.g. the spring course launch]. Focus only on this project. If you're unsure whether something belongs to it, ask me. Review my email, calendar and Drive files about this project. Write a short project brief: the goal, current status, decisions and who made them, deadlines, blockers, open questions, and the next step. Cite your sources, keep facts separate from assumptions, and say when a source is missing instead of guessing. Then check for changes every [CHECK FREQUENCY, e.g. weekday morning]. Only message me when something meaningful changes, like a new deadline, decision, blocker or unanswered request. Before sending, editing, scheduling or committing to anything, ask me first.
Start one ChatGPT Work task per project. It reads the related emails, docs and calendar, writes a running brief, checks for changes on a schedule and pings you only when something matters.
Step by step
- Connect Gmail, Google Calendar and Google Drive in ChatGPT under Customize, then Plugins.
- Start a new task in Work and paste the prompt for one project.
- Correct anything missing in the first brief it writes.
- Keep using the same task for prep, drafts and questions about that project.
What you'll get
A running brief for one project that stays current, plus short alerts only when deadlines, decisions or blockers change.
Scheduled checks depend on your plan. Web checks run with your laptop off. Desktop ones need the app open.
