Each time you run, check my Gmail and Google Calendar for any trip that starts in the next [DAYS AHEAD, e.g. 14] days. If there's none, just say so and stop.

For each trip, find every confirmation email: flights, trains, hotels, rental cars, tours, restaurants and event tickets. Build a day-by-day itinerary in time order with what's happening, the address, the local time, the confirmation number and a link to the original email.

Then look for gaps and problems: nights with no place to stay, arrivals with no way to the hotel, tight connections, check-in times that clash with arrival times, and anything that misses [MY TRAVEL NEEDS, e.g. a quiet room and an aisle seat]. List these at the top.

Offer to add calendar events for flights and check-ins, but wait for my yes. Never book, cancel or change anything. If a detail is unclear, mark it 'check' instead of guessing. Save the itinerary as a document I can open on my phone.

Set one weekly task. When a trip is coming up, Claude gathers every flight, hotel, car and ticket email into a day-by-day itinerary with confirmation numbers, and flags the gaps before you leave.

Step by step

  1. Connect Gmail and Google Calendar to Claude from Customize, then Connectors.
  2. Click Scheduled in the Cowork sidebar, choose New task, and paste the prompt.
  3. Set it to run weekly, on the day you usually plan your week.
  4. Check the itinerary against each original confirmation before you rely on it.
  5. Approve only the calendar events you want, and book any gaps yourself.
